PROFESSIONAL DEVELOPMENT: iAdvise Tip of the Week – Reminders about setting availability for online scheduling and a bonus tip!

Setting or Editing Availability for Students to Schedule - As we move into mandatory advising time and into the middle of the term, here's some things to keep in mind when setting up your Office Hours or Group Sessions so that students can continue to schedule with you using iAdvise:

  • If you have your regular office hours already set, you can extend those hours if they are not changing drastically. That's a simple way to not have to add more office hours.
  • Make sure you have a location set n your Institutional Profile or if you're choosing to allow multiple locations you include helpful tips in your message instructions.
  • If you want students to give you information about why they are meeting with you beyond the "reason" they select, please put in your Office Hours and Group Sessions Instructions directions to add information into the text box on their appointment confirmation page.
  • If you use a personal Zoom room or have a stable meeting room link, you can make a "Go" link using Web Tools and use that...
  • And don't forget that if you're messaging students, in your Institutional Profile, you now have a link you can send that directs a student to your profile or directly to your schedule. You can find that "Share Link" in your Institutional Profile.

BONUS TIP - If you are calendar synced, remove or suspend any "Out of Office" messages in your email provider while setting or editing Office Hours or Group Sessions!
If you have an away message active on your account and you are setting availability or editing current Office Hours, there are infrequent times where the Office Hours may show an error. If you are editing availability or setting availability and you have an "Out of Office" message on, please make sure that you temporarily suspend your "Out of Office" message and re-initiate it once the Office Hours or Group Sessions have been added or entered.
